School photos, printed in-house.

Self-production means printing and preparing your orders in your own studio. Set a session to Self-Fulfill: its paid orders containing items to produce are grouped into batches with image files and a configurable manifest, and each batch page lets you generate packing slips and address labels.

  • ✓ XML, CSV or your own manifest template, per batch or per order
  • ✓ Packing slips, a batch checklist and 4 x 6 address labels
  • ✓ Included in every plan, at no extra cost
By the end of this example, the batch is ready and its packing slips and labels are printed.

1Which manifest can your print software read?

Choose a built-in XML or CSV manifest, or provide a template, then test the output with your print software.

On a session’s Laboratory tab, choose Self-Fulfill (“You handle printing and shipping yourself”). No lab account number is needed. The session’s paid orders that contain items to produce then go to self-production batches, with their image files and a manifest.

The built-in manifest comes as XML (the ManifesteSelfFulfill structure below) or CSV, one manifest per batch or one per order, with the items combined in one manifest or split by product type. These settings are read when a batch is processed; changing them does not automatically rewrite files already generated.

If your software expects another form, paste a custom template of up to 50 KB, either global or for Prints, Other or Sports Cards, using the variable reference on screen. XML validation rejects bare placeholders for specified name, group, street-address and parent-comment fields; use the escaping helper listed in the variable reference for those fields.

Standard photo prints are encoded as JPEGs with 300 DPI metadata. Rendered products retain their configured resolution, and the built-in manifest records their filenames.

2When are your orders grouped into batches?

A batch gathers paid orders of one session. You choose the moment in the session.

School-delivery orders are grouped by session during scheduled 12:15 a.m. Eastern runs: every night with Nightly Batch, or after the session’s deadline with Dated Batch (the session’s Submission Mode). Eligible home-delivery orders are queued for production after payment is finalized.

Each batch has its page in Lab Batches: its processing status, its orders with their number, customer, status, items and total. An owner or administrator can close an eligible waiting batch with Close Batch to queue it for processing; later orders start a new batch.

3How do you get the batch’s files?

Through the production console, a web page opened for your studio on request.

The production console signs in with its own account, scoped to your studio. A batch’s page lists its manifests and every image file, each with its own download link, beside the batch’s orders.

Once the prints are made, Mark as printed records the batch as produced, and Mark as shipped updates eligible unshipped orders in a production-ready batch; it does not add tracking details or send parent notifications. For an eligible home-delivery order with a complete address, the admin order page lets you mark it shipped, optionally record a carrier and tracking number, and request a parent notification (below).

Ask us to open the console when your studio starts self-producing.

4Which packing slips, labels and exports can you prepare?

The paper that travels with the prints, set once for your studio.

The packing slip is set for the whole studio: twelve elements to show or hide (student photo, product photo, student name, school name, group, product name, order number, quantity, date, studio logo, package contents and photo filename), the thumbnail width, with a live preview. It is generated for one order, for a selection of orders (200 at most) or, from the batch page, for a whole self-production batch.

The batch PDF opens with the batch checklist, continues with one slip per order and, when items are present, ends with their recap and its “Total to produce”.

The shipping label is an address label, 4 x 6 in by default, for home-delivered orders with a complete address: studio logo, from address, return-address heading, order number, date and recipient phone, each shown or hidden. It carries no postage. For an eligible home-delivery order with a complete address, you can enable shipment marking when the label PDF download starts, optionally enter a carrier and tracking number, and request a parent notification by e-mail.

For your spreadsheets, the orders CSV contains one row per order. Use the batch PDF for its production recap. Users with access to financial reports can also export the Lab Production Costs report as CSV.

5How do you test your setup before the season?

Configure, try one batch, then produce.

Start with the settings: the manifest form your software imports, a template if it needs one, the packing slip and the label. Then try a batch before the first real session. A studio test order, activated for your studio on request, goes through your self-production in a batch of its own and sends a confirmation e-mail marked [TEST]; it is never sent to a lab.

Manifests and files downloaded to your computers may contain student and parent information: plan how to protect those local copies, and check your school board’s own rules.

7In-house production FAQ

Can we print our school photo orders in-house with MaplePhoto?

Yes. A session set to Self-Fulfill groups its paid orders that contain items to produce into batches, each with its image files and its manifest, which you print with your own software.

Does it work with our print software?

If your software reads XML or CSV, start with the built-in manifest. If it expects another form, paste your own template. Describe your software to us and we will tell you what fits in the settings.

Can we download one order instead of an entire batch?

Set the manifest per order: each order of the batch gets its own manifest. In the production console, every file of the batch has its own download link.

Is there a desktop app or an API?

Not yet for MaplePhoto studios. Today a self-production studio works in the web admin, and in the production console opened on request.

Can we customize packing slips with school, class and photo details?

Yes. The packing slip shows or hides twelve elements, including the school name, the group, the student name, the student photo and the product photo.

Does MaplePhoto create address labels, or also purchase postage?

Address labels, 4 x 6 in by default, for home-delivered orders. Postage and carrier labels are not offered; an optional carrier and tracking number can be typed when you mark the order shipped.

Does self-production cost extra?

No extra fee: self-production is included in every MaplePhoto plan. The usual platform fee, calculated from your plan and any studio-specific fee settings, applies as for any order.
